The Pricing Page Is Just the Beginning
Every ERP vendor has a pricing page. Some show clean per-user-per-month numbers. Others list tiered plans with feature gates. A few hide pricing entirely behind "contact sales" buttons. But regardless of how the sticker price is presented, it almost never represents what you will actually pay. Here are the hidden costs to watch for.
Implementation and Consulting Fees
Many ERP vendors quote software costs separately from implementation. The consulting engagement — requirements gathering, configuration, customization, data migration, and training — can easily cost two to five times the annual software subscription. Some vendors require their own certified partners for implementation, limiting your options and inflating prices.
Ask upfront: what does a typical implementation cost for a company my size? Get specific numbers, not ranges.
Customization and Development
If the ERP does not fit your workflow out of the box, you will need customization. Custom fields, custom reports, workflow modifications, and integrations with third-party tools all require development work — either from the vendor (at premium rates) or from third-party developers. Customizations also create upgrade risk: every modification must be re-tested and potentially re-built when the vendor releases a new version.
Per-User Pricing That Scales Painfully
Per-user pricing seems fair until your business grows. Ten users at twenty dollars per month feels manageable. Fifty users at the same rate is twelve thousand dollars per year. Some vendors charge different rates for different user types — full users, limited users, portal users — adding complexity to your budgeting. Others charge per "named user" even if that person only logs in once a month.
Module Add-On Fees
The base plan includes accounting and inventory. Manufacturing is an add-on. E-commerce integration is another add-on. Advanced reporting, API access, multi-currency support — each is a separate line item. By the time you have assembled the functionality you actually need, the price is three or four times the advertised base.
Data Storage and Transaction Limits
Some platforms charge based on data volume or transaction count. Process more than a certain number of invoices per month and you move to the next tier. Store more than a certain number of gigabytes and overage charges apply. These limits are often buried in the fine print.
Training and Onboarding
Software is only useful if your team knows how to use it. Formal training programs, certification courses, and onboarding sessions are often sold separately. Even "free" documentation requires time investment — someone on your team must learn the system and train everyone else.
Support Tiers
Basic support (email, 48-hour response) is usually included. Priority support (phone, four-hour response) costs extra. Premium support (dedicated account manager, one-hour response) costs significantly extra. If you are running your business on this software, you probably need better-than-basic support — budget accordingly.
Upgrade and Version Migration
On-premise ERP systems require periodic version upgrades that can be as expensive as the initial implementation. Even cloud systems sometimes introduce "new versions" that require migration effort, re-training, and potential loss of customizations.
How to Calculate True TCO
Add up: annual subscription, implementation costs (amortized over three years), annual customization and development budget, training costs, support tier pricing, and internal IT time for administration. Compare this total across vendors, not just the sticker price.
Transparent Pricing, No Surprises
TAVARA ERP includes all modules in every subscription — accounting, inventory, sales, purchasing, manufacturing, HR, and more. No per-module add-ons. No implementation consulting fees. Self-service setup, built-in training resources, and responsive support included. What you see on the pricing page is what you pay. Start your free trial and experience ERP without hidden costs.
